MICAMPUS LIVING PORTUGAL, UNIPESSOAL LDA may process the following personal data:

  • Identification Data (full name, nationality/country, date of birth, gender and number, validity and issuing authority of identification document); Contact Data (telephone contact, e-mail and address).
  • Emergency contact details (telephone number and e-mail address – you must inform the emergency contact that you have provided us with this personal data and give them a copy of this Policy).
  • Billing Data (IBAN and Tax Identification Number); Payment Data (payment method, if the payment method selected is direct debit, name of the bank account holder and country code and, if the payment method selected is credit card, name of the credit card holder and type, validity and last four digits of the credit card number).
  • Data relating to Academic/Professional Life (Course and Faculty); Data relating to the Stay (arrival and departure dates, goods and services used, payment history and communications exchanged with MICAMPUS LIVING PORTUGAL, UNIPESSOAL LDA employees).
  • Data collected through the use of Closed Circuit Television, Internet systems (including wired or wireless networks that may collect data about the computer or mobile device, for example the IP address and other online location identifiers) and access cards.
  • Internet browsing data (IP address and cookies).
  • In the event that people interested in living in the Residence already live alone in properties (e.g. flats, houses and other university residences), the average cost and characteristics of the accommodation may also be processed.
Time and means of collecting personal data

Full name, gender, nationality/country, telephone and e-mail contact details, billing details and payment details are collected when website users fill in the form on this website in order to enter into a Residential Services Contract with MICAMPUS LIVING PORTUGAL, UNIPESSOAL LDA. The IP address and cookies are collected when users browse the website. The remaining personal data is collected at a later date when the Booking Form for the Provision of Residential Services (Special Conditions) is delivered or sent by e-mail to MICAMPUS LIVING PORTUGAL, UNIPESSOAL LDA employees and during the execution of the aforementioned Contract.

The mandatory nature of the collection of personal data through this website is signalled below each of the collection fields. This website automatically and compulsorily collects some personal data through user actions. The personal data collected in the Booking Form for the Provision of Services (Special Conditions) is necessary for the conclusion of the Contract. Subsequently, during the performance of the Contract, the collection of some personal data will be mandatory for the provision of services.

Most of the personal data that MICAMPUS LIVING PORTUGAL, UNIPESSOAL LDA processes is information collected directly from the owners of the personal data. However, in some cases, MICAMPUS LIVING PORTUGAL, UNIPESSOAL LDA may process personal data that is inferred from other personal data collected from data subjects or in interactions between data subjects and MICAMPUS LIVING PORTUGAL, UNIPESSOAL LDA employees.

Purpose of processing and legal basis for processing

MICAMPUS LIVING PORTUGAL, UNIPESSOAL LDA may process personal data for the following purposes and on the respective legal grounds:

  • For the purpose of responding to requests for clarification/more information from users of the website and/or residents in relation to the Residence, MICAMPUS LIVING PORTUGAL, UNIPESSOAL LDA processes their personal data on the legal basis of its legitimate interest in keeping them satisfied and informed and, in some cases, to carry out pre-contractual steps at the request of the holders of the personal data or the execution of contracts to which they are a party.
  • For the purposes of adapting the type of accommodation to be offered to the future resident, administrative management, calculating and processing the payment of the monthly amount, the value of the reservation, the value of the deposit and additional services, processing any withdrawals and corresponding refunds, providing services within the scope of its accommodation activity (including the provision of services, facilities and amenities) and executing court judgements, MICAMPUS LIVING PORTUGAL, UNIPESSOAL LDA processes personal data. A. processes the personal data of website users and/or residents on the legal basis of carrying out pre-contractual procedures at the request of the holders of the personal data or the execution of contracts to which they are a party.
  • For the purpose of maintaining aggregated information on residents, MICAMPUS LIVING PORTUGAL, UNIPESSOAL LDA processes their personal data on the legal basis of its legitimate interest in optimising administrative management.
  • For the purpose of monitoring financial results, MICAMPUS LIVING PORTUGAL, UNIPESSOAL LDA processes residents’ personal data on the legal basis of its legitimate interest in monitoring their financial results in order to optimise revenue.
  • MICAMPUS LIVING PORTUGAL, UNIPESSOAL LDA processes residents’ personal data for commercial purposes (including internal statistics and analysing occupancy levels at the Residence) on the basis of its legitimate interest in guaranteeing the adequacy of the services provided to residents.
  • For the purposes of facilitating the provision of services by third parties in the Residence and making reservations for spaces in the Residence, MICAMPUS LIVING PORTUGAL, UNIPESSOAL LDA processes the personal data of residents and visitors on the legal basis of its legitimate interest in guaranteeing the satisfaction of residents and visitors and the diversity of the services provided.
  • For the purpose of protecting people and property, MICAMPUS LIVING PORTUGAL, UNIPESSOAL LDA processes the personal data of residents and visitors on the legal basis of its legitimate interest in safeguarding security in the Residence.
  • MICAMPUS LIVING PORTUGAL, UNIPESSOAL LDA processes residents’ personal data for the purpose of sending newsletters, commercial and advertising communications and promotional notices/invitations to events (“marketing communications”), on the legal basis, as applicable, of its legitimate interest in keeping them informed about its services and events or of their consent.
  • For the purpose of complying with legal obligations, MICAMPUS LIVING PORTUGAL, UNIPESSOAL LDA processes personal data on the legal basis of complying with legal obligations to which it is bound.
Retention Periods for Personal Data

The retention period for which MICAMPUS LIVING PORTUGAL, UNIPESSOAL LDA will keep personal data varies depending on the purposes of processing. Thus, MICAMPUS LIVING PORTUGAL, UNIPESSOAL LDA will retain personal data for the following periods:

  • Response to inquiries/more information requests from website users and/or residents regarding the Residence: for the time necessary for MICAMPUS LIVING PORTUGAL, UNIPESSOAL LDA to respond to requests and during contact exchanges for the conclusion of the Residence Service Provision Contract or clarification of any issues after its conclusion (maximum 12 months, or earlier, until data subjects exercise their right to object if the legal basis for data processing is not the performance of pre-contractual measures at the request of data subjects or the execution of contracts in which they are a party).
  • Adaptation of the type of accommodation to propose to the future resident, administrative management, calculation and processing of the monthly fee, reservation fee, deposit amount, and additional services, processing of any withdrawals and corresponding refunds, provision of services within its accommodation activity (including the provision of services, facilities, and amenities), and execution of judicial decisions: during the term of the contracts.
  • Maintenance of aggregated information about residents: during the term of the contracts.
  • Monitoring of financial results: 1 year.
  • Adaptation of offers for commercial purposes: 1 year.
  • Facilitation of services by third parties in the Residence and reservation of Residence spaces: 60 days.
  • Protection of people and property: 30 days.
  • Making calls and sending newsletters, commercial and advertising communications, and promotional/invitation communications for events (“marketing communications”): a period of 1 year after the end of the term of the Residence Service Provision Contract as applicable, until residents exercise their right to object or withdraw their consent.
  • Compliance with legal obligations: for the time necessary to fulfill the relevant legal obligation.

If personal data is processed for various purposes with distinctive retention periods, MICAMPUS LIVING PORTUGAL, UNIPESSOAL LDA will keep them for the longest of these periods, in which case the processing of personal data will be restricted to the purpose with the longest retention period.

Transmission of Personal Data to Third Parties

MICAMPUS LIVING PORTUGAL, UNIPESSOAL LDA will only transmit personal data to:

  • Service providers of MICAMPUS LIVING PORTUGAL, UNIPESSOAL LDA – these providers act as subcontractors of MICAMPUS LIVING PORTUGAL, UNIPESSOAL LDA, and, in this capacity, provide services on behalf and according to explicit instructions from MICAMPUS LIVING PORTUGAL, UNIPESSOAL LDA as a result of contracts between it and the service providers.
  • Companies that are part of the corporate group to which MICAMPUS LIVING PORTUGAL, UNIPESSOAL LDA belongs (a group consisting of MICAMPUS LIVING S.L. and all companies owned by it) or related to it and partners of MICAMPUS LIVING PORTUGAL, UNIPESSOAL LDA.
  • Third parties to whom MICAMPUS LIVING PORTUGAL, UNIPESSOAL LDA is required to transmit personal data in compliance with legal obligations or a determination by judicial authorities and competent administrative entities.

MICAMPUS LIVING PORTUGAL, UNIPESSOAL LDA does not intend to transfer personal data to a third country or an international organization. Nevertheless, if this happens, Caravel Devotion, S.A. will make the transfer based on an adequacy decision adopted by the European Commission or, in cases where there is no adequacy decision, will provide adequate guarantees to ensure the protection of personal data and that data subjects enjoy enforceable rights and effective legal remedies.

Rights of Data Subjects

Data subjects enjoy, as applicable, the following rights:

Right to withdraw consent – the right to withdraw consent at any time without affecting the lawfulness of the processing based on the previously given consent.

Right of access – the right to know whether their personal data is being processed by MICAMPUS LIVING PORTUGAL, UNIPESSOAL LDA If so, data subjects can request access to their personal data and the information listed in Article 15 of the GDPR.

Right to rectification – the right to obtain from MICAMPUS LIVING PORTUGAL, UNIPESSOAL LDA the rectification or completion of their personal data that is inaccurate or incomplete, in accordance with Article 16 of the GDPR.

Right to erasure – the right to request the erasure of their personal data from MICAMPUS LIVING PORTUGAL, UNIPESSOAL LDA based on the grounds set out in Article 17 of the GDPR.

Right to restriction of processing – the right to obtain from MICAMPUS LIVING PORTUGAL, UNIPESSOAL LDA restriction of processing under the conditions set out in Article 18 of the GDPR.

Right to data portability – in cases provided for in Article 20 of the GDPR, the right to receive personal data concerning them from MICAMPUS LIVING PORTUGAL, UNIPESSOAL LDA in a structured, commonly used, and machine-readable format and the right to transmit this data to another controller without hindrance from MICAMPUS LIVING PORTUGAL, UNIPESSOAL LDA
